QuoteIQ LLC (“QuoteIQ,” “we,” “our,” or “us”) operates the QuoteIQ mobile application (iOS and Android), the QuoteIQ web application at myquoteiq.com, and related services (collectively, the “Services”). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use our Services.
By creating an account or using the Services, you acknowledge that you have read and understand this Privacy Policy. If you do not agree with our practices, please do not use the Services.
This Privacy Policy applies to all users of QuoteIQ, including business owners (account holders), their employees who access QuoteIQ through an employer’s account, and customers or clients whose information is stored within QuoteIQ by our users.

03 Information We Collect
We collect information in several ways depending on how you interact with our Services.
3.1 Information You Provide Directly
Account Registration & Profile
- Name, email address, phone number, business name, and business address
- Password and account credentials
- Subscription plan selection and billing information
- Company logo, license numbers, and branding information
Customer Relationship Management (CRM) Data
- Customer and client contact information (names, phone numbers, email addresses, physical addresses) that you enter into QuoteIQ
- Estimates, invoices, job records, scheduling data, and payment histories
- Notes, tags, lead sources, and custom fields you associate with contacts
- Pipeline and deal information
Employee Data (EmployeeHub)
- Employee names, contact information, hourly rates, and work availability
- Time tracking records (clock in/out times, break periods, hours per job)
- GPS location data when employees are clocked in (see Section 3.3)
- Sales performance and commission data
Photos, Videos & Documents
- Job site photos and videos uploaded through QuoteIQ Cam
- Before and after photos
- Inspection forms, job reports, and attached documents (contracts, licenses, insurance certificates)
Communications
- Text messages (SMS/MMS) sent and received through ClientHub
- Phone call logs and recordings through ClientHub
- Emails sent through QuoteIQ automation
AI Feature Inputs

Note: We do not directly collect or store credit card numbers, bank account numbers, or other payment instrument details. Payment processing for both your QuoteIQ subscription and your customers’ invoice payments is handled by Stripe. See Section 5 for details.
3.2 Information Collected Automatically
When you use our Services, we automatically collect certain technical and usage information:
- Device information (device type, operating system, app version, unique device identifiers)
- IP address and approximate location derived from IP
- Browser type and version (for web app access)
- App usage data (features accessed, frequency of use, session duration, crash logs)
- Log data (access times, pages viewed, actions taken within the app)
- Cookies and similar tracking technologies (see Section 8)
3.3 Geolocation Data
Important: QuoteIQ collects precise geolocation (GPS) data in the following contexts:
- EmployeeHub GPS Tracking: When employees are clocked in via Time Tracker Pro, QuoteIQ collects real-time GPS location data. We store only the employee’s current location while clocked in; we do not maintain a historical log of all locations visited. GPS tracking pauses during breaks and stops when the employee clocks out. The last known location is retained on the employee’s profile until updated by a subsequent clock-in. This data is used by the account holder (employer) for workforce management, route optimization, and job verification.
- MapMeasure Pro: Uses satellite imagery and geolocation to enable remote property measurement. Property location data is stored with the associated estimate.
- Route Optimization & Route Density: Uses job location data to optimize driving routes and visualize geographic job concentration.
- GEO-Schedule / Map Calendar View: Displays scheduled jobs on a geographic map.
You may disable GPS tracking by clocking out, revoking location permissions in your device settings, or contacting your employer (the QuoteIQ account holder). Note that disabling location services may limit certain features.
For account holders using EmployeeHub: You are responsible for informing your employees about GPS tracking practices and obtaining any required consent under applicable law before enabling location tracking.
3.4 Information from Third Parties
We may receive information about you from third-party services you connect to QuoteIQ:
- Google Calendar: Calendar events and metadata (see Section 7 for Google-specific disclosures)
- Google Maps / Places API: Property and address data for MapMeasure Pro and scheduling features
- QuickBooks Online: Invoice and payment synchronization data
- Stripe: Payment confirmation and transaction status
- Twilio / SignalHouse: SMS/MMS delivery status and call logs
- SendGrid: Email delivery status

06 AI Features & Automated Decision-Making
QuoteIQ incorporates artificial intelligence across multiple features. This section explains how AI processes your data.
AI Service Provider
All QuoteIQ AI features are powered by Google Gemini. When you use an AI feature, the data you provide (text commands, photos, voice input, call audio) is sent to Google’s Gemini API for processing. Google processes this data to generate the AI output and returns it to QuoteIQ.
AI Features Overview
- AI Autopilot: Processes your text or voice commands to execute CRM actions (create estimates, send invoices, schedule jobs, etc.). Your commands and the resulting CRM data are sent to Google Gemini to generate responses and actions. Autopilot conversation history is retained within your account until you delete it.
- AI Estimator: Analyzes photos you upload and job descriptions to generate pricing estimates based on property characteristics and local market data. Photos and job data submitted to the AI Estimator are processed in real time and are not retained by QuoteIQ after the estimate is generated. This constitutes automated decision-making that produces pricing recommendations.
- Before/After AI Image Generation: Uses photos you upload to create AI-generated preview images showing expected results after service completion.
- AI Text Generator: Generates suggested text for customer messages and communications based on context.
- Virtual Call Team: AI-powered phone agents that handle inbound and outbound calls. Calls are recorded, transcribed, and summarized. AI processes call audio in real time to conduct conversations. Recordings and transcripts are retained for 12 months, then automatically deleted.
How AI Uses Your Data
- AI features process data you submit (text, photos, voice, call audio) to generate outputs (estimates, images, text, call responses)
- AI-generated estimates are recommendations only — you review and approve all pricing before sending to customers
- We do not use your business data, customer data, photos, or communications to train generalized AI or machine learning models
- AI outputs may occasionally be inaccurate; you are responsible for reviewing all AI-generated content before use
Your Rights Regarding Automated Decision-Making
Under certain state privacy laws (including California’s regulations on automated decision-making technology, effective January 1, 2026), you may have the right to:
- Be informed about the use of automated decision-making that could significantly affect you
- Opt out of certain automated decision-making processes
- Request human review of automated decisions

07 Google Calendar Integration — User Data Disclosure
This section is required by Google’s API Services User Data Policy.
Data Accessed
When you connect your Google account to QuoteIQ for calendar synchronization, we may access:
- Calendar metadata (such as calendar ID and time zone)
- Calendar events, including event titles, descriptions, start and end times, locations, attendees, and reminders
- Your primary Google account email address (for account identification)
- Authorization tokens required to access and manage calendar events
We request the minimum OAuth scopes necessary to read, create, update, and delete calendar events. Specifically, we use the https://www.googleapis.com/auth/calendar.events scope.
Data Usage
Google user data is used solely to:
- Synchronize calendar events between QuoteIQ and your Google Calendar
- Display relevant Google Calendar events within QuoteIQ
- Create, update, and delete Google Calendar events based on your actions in QuoteIQ
- Prevent duplicate events and maintain synchronization accuracy
- Identify the correct Google account associated with your QuoteIQ account
We do not use Google user data for advertising, profiling, marketing, or unrelated analytics purposes. We do not use Google Workspace APIs to develop, improve, or train generalized AI and/or machine learning models.
Data Sharing
We do not sell or rent Google user data. Google user data is only shared:
- With Google, as required to provide calendar synchronization functionality
- With trusted infrastructure providers (such as Firebase/Google Cloud) strictly necessary to operate our service, subject to confidentiality and data protection obligations
We do not share Google user data with third parties for advertising or marketing purposes.
Data Storage & Protection
We implement appropriate technical and organizational measures to protect Google user data, including:
- Encryption of data in transit using HTTPS/TLS
- Secure storage of OAuth access and refresh tokens
- Encryption at rest where supported by our hosting infrastructure
- Role-based access controls restricting access to authorized personnel only
- Ongoing monitoring and security updates
We store only the minimum Google user data necessary to maintain synchronization functionality.
Data Retention & Deletion
We retain Google user data only for as long as necessary to provide calendar synchronization services or as required by applicable law. You may disconnect your Google account at any time through QuoteIQ’s settings. Upon disconnection:
- OAuth tokens are revoked and permanently deleted
- Stored Google Calendar data is deleted from our systems within 30 days
You may also revoke access at any time via your Google Account permissions page.
Google API Services Compliance
QuoteIQ’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Our website has the Meta (Facebook) Pixel installed. The Pixel collects data about visits to myquoteiq.com, including pages viewed and device information, and transmits this data to Meta Platforms, Inc. We have not configured the Pixel for custom audience building, retargeting, or lookalike audience campaigns. However, the Pixel’s presence on our site means that Meta receives browsing data from visitors to myquoteiq.com.

- We use Twilio and SignalHouse as our messaging providers (see Section 5)
For mass text campaigns, A2P 10DLC registration is required. QuoteIQ provides the technical infrastructure; you are responsible for complying with all applicable laws, including the Telephone Consumer Protection Act (TCPA), regarding consent and messaging practices when communicating with your customers.

Beyond the third-party service providers listed in Section 5, we may share your information in the following circumstances:

We may disclose your information if required to do so by law, regulation, legal process, or enforceable governmental request, including to meet national security or law enforcement requirements.
Business Transfers
If QuoteIQ is involved in a merger, acquisition, asset sale, or bankruptcy, your personal information may be transferred as part of that transaction. We will notify you via email and/or prominent notice on our website of any change in ownership or uses of your personal information.
Protection of Rights
We may disclose information when we believe disclosure is necessary to protect the rights, property, or safety of QuoteIQ, our users, or the public.
No Sale of Personal Information: QuoteIQ does not sell your personal information. We do not sell, rent, or trade personal information to third parties for monetary or other valuable consideration. The Meta (Facebook) Pixel installed on our website transmits browsing data to Meta; see Section 8 for details and opt-out options.

You may designate an authorized agent to submit a privacy request on your behalf. We may require the agent to provide proof of authorization and may contact you directly to verify the request.
Applicable State Laws
These rights are provided under various state privacy laws, including but not limited to the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), Virginia Consumer Data Protection Act (VCDPA), Colorado Privacy Act (CPA), Connecticut Data Privacy Act (CTDPA), and privacy laws in Texas, Oregon, Montana, Utah, Iowa, Indiana, Tennessee, Delaware, New Hampshire, New Jersey, Nebraska, Maryland, Minnesota, Kentucky, Rhode Island, and other states that have enacted comprehensive privacy legislation. 12 Data Retention
We retain your personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.

Account Deletion
When you request account deletion, we will:
- Delete or anonymize your personal information within 60 days of your request
- Retain data we are legally required to keep (e.g., financial transaction records for tax and regulatory compliance) for the applicable retention period, after which it will be permanently deleted
- Permanently delete photos, documents, and media files within 30 days of account closure
13 Data Security
We implement commercially reasonable technical and organizational measures to protect your personal information, including:
- Encryption in transit: All data transmitted between your device and our servers is encrypted using HTTPS/TLS
- Encryption at rest: Data stored in Firebase/Google Cloud is encrypted at rest
- Access controls: Role-based access controls limit employee access to personal information
- Authentication: Secure authentication for all account access
- Monitoring: Ongoing security monitoring and incident response procedures
- Payment security: Credit card and payment information is processed by Stripe and is never stored on QuoteIQ servers
- OAuth token security: Google Calendar and other integration tokens are stored securely and encrypted
No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you become aware of a security vulnerability, please contact us immediately at support@quoteiq.io.
14 Children’s Privacy
QuoteIQ is a business-to-business service designed for professional use by adults operating home service businesses. Our Services are not directed to children under the age of 16, and we do not knowingly collect personal information from children under 16.
If we learn that we have collected personal information from a child under 16, we will promptly delete that information. If you believe a child under 16 has provided us with personal information, please contact us at support@quoteiq.io.
15 International Data Transfers
QuoteIQ is based in the United States, and your personal information is processed and stored in the United States. If you access the Services from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.
By using the Services, you consent to the transfer and processing of your information in the United States.
16 Do Not Track & Global Privacy Control Signals
Global Privacy Control (GPC): We recognize and honor Global Privacy Control signals. When we detect a GPC signal from your browser, we treat it as a valid request to opt out of the sale or sharing of personal information and targeted advertising, consistent with applicable state laws including the California CPRA, Colorado Privacy Act, Connecticut CTDPA, and others.
Do Not Track (DNT): There is no industry consensus on how to respond to Do Not Track browser signals. We currently do not respond to DNT signals, but we do respond to the GPC signal as described above.
17 Employer & Employee Data Responsibilities
QuoteIQ serves as a tool for business owners (account holders) to manage their operations, employees, and customer relationships. It is important to understand the respective data responsibilities:
Account Holders (Employers)
- You control the CRM data, customer data, and employee data within your account
- You are responsible for the lawful collection and use of your customers’ personal information
- You are responsible for informing your employees about data collection practices, including GPS tracking, time tracking, and communication monitoring
- You are responsible for obtaining any consents required by applicable law before enabling employee location tracking or recording communications
- When you delete your account, all associated data is subject to the retention periods in Section 12
Employees
- Your employer (the QuoteIQ account holder) controls access to your employment-related data within QuoteIQ
- For questions about how your employer uses your data in QuoteIQ, contact your employer directly
- For questions about how QuoteIQ processes your data as a platform, contact us using the information in Section 2
End Customers
- If you are a customer of a business that uses QuoteIQ, your contact information, job history, communications, and photos may be stored in QuoteIQ by that business

18 Changes to This Privacy Policy
