01 Agreement to Terms
These Terms & Conditions (“Terms”) constitute a legally binding agreement between you, whether personally or on behalf of a business entity (“you,” “your,” or “User”), and QuoteIQ, LLC (“QuoteIQ,” “Company,” “we,” “our,” or “us”), concerning your access to and use of the QuoteIQ mobile application (iOS and Android), the QuoteIQ web application at myquoteiq.com, and all related services, features, and content (collectively, the “Services”).
We are registered in the State of Georgia, United States, and have our registered office at 5710 Ogeechee Rd, Savannah, GA 31405, USA.
By creating an account, subscribing to a plan, or otherwise accessing or using the Services, you confirm that you have read, understood, and agreed to be bound by these Terms in their entirety. If you do not agree with these Terms, you must not access or use the Services.
These Terms apply to all users of QuoteIQ, including account holders (business owners), employees who access QuoteIQ through an employer’s account, and any person who interacts with the Services.
02 Who We Are
QuoteIQ LLC is a field service management software company founded in 2023 by Mike Vidan II and Justin Rogers. QuoteIQ provides an all-in-one platform for quoting, scheduling, invoicing, payments, customer communication, employee management, AI-powered tools, and business analytics for home service professionals.

03 Definitions
Throughout these Terms, the following words have specific meanings:
- “Account” means your registered QuoteIQ account, including all data, settings, and subscription information associated with it.
- “Account Holder” means the individual or business entity that created and maintains a QuoteIQ account and is responsible for billing.
- “AI Features” means all artificial intelligence and machine learning powered features within the Services, including AI Autopilot, AI Estimator, Before/After AI Image Generation, AI Text Generator, and Virtual Call Team.
- “Content” means all text, graphics, images, software, audio, video, data, and other materials available through the Services.
- “Employee User” means a person granted access to QuoteIQ by an Account Holder through EmployeeHub.
- “End Customer” means a customer or client of an Account Holder whose information is stored within QuoteIQ.
- “IQ Credits” or “IQC” means the virtual credits allocated with each subscription plan and used to access AI Features.
- “Services” means the QuoteIQ mobile applications, web application, AI features, and all related services, tools, and content.
- “Subscription Plan” or “Plan” means the tier of service you have selected (Essentials, Beginner, Pro, Elite, or Max), including its associated features, user limits, and IQ Credit allocation.
- “User Data” means all data you or your Employee Users enter, upload, or generate within QuoteIQ, including customer records, estimates, invoices, photos, communications, and business data.
04 Account Registration
To use the Services, you must create an account. By registering, you represent and warrant that:
- All registration information you provide is true, accurate, current, and complete
- You will maintain the accuracy of such information and promptly update it as necessary
- You have the legal capacity to enter into these Terms
- You are at least 18 years of age
- You will not access the Services through automated or non-human means (bots, scripts, or scraping tools), except through our provided APIs
- You will not use the Services for any illegal or unauthorized purpose
- Your use of the Services will comply with all applicable laws and regulations
Account Security
You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account. You agree to notify us immediately at support@quoteiq.io if you suspect unauthorized access to your account. We are not liable for any loss arising from unauthorized use of your account.
Account Holder Responsibility
If you grant access to Employee Users through EmployeeHub, you are responsible for their compliance with these Terms. You control what data Employee Users can access through Roles & Permissions settings, and you are responsible for appropriately configuring those permissions.
If you provide any information that is untrue, inaccurate, or incomplete, we reserve the right to suspend or terminate your account and refuse any current or future use of the Services.
05 Subscription Plans & Pricing
QuoteIQ offers five subscription tiers. Features, user limits, and IQ Credit allocations vary by plan. Full plan details are available at myquoteiq.com/pricing.

Certain features are only available on specific plans. Access to features is determined by your active subscription tier. You may upgrade or downgrade your plan at any time.
We reserve the right to change pricing at any time. Price changes take effect at the start of your next billing cycle. We will provide advance notice of material price changes via email or in-app notification.
06 IQ Credits
IQ Credits (“IQC”) are virtual credits used to access AI Features within QuoteIQ. Every subscription plan includes a monthly allocation of IQ Credits.
How IQ Credits Work
- IQ Credits are included with your subscription at no additional cost
- Credits reset at the beginning of each billing cycle — unused credits do not roll over
- Different AI Features consume different amounts of credits per interaction
- Your credit balance is visible within the AI interface
- When you exhaust your monthly allocation, AI Features will be unavailable until your credits reset at the next billing cycle, unless you purchase additional credits
IQ Credit Usage
- AI Autopilot: Credits consumed per conversation/command
- Virtual Call Team: 125 IQC per minute of call time
- AI Estimator: Credits consumed per estimate generated
- Before/After Image Generation: Credits consumed per image generated (including regenerations)
- AI Text Generator: Credits consumed per text generation
No Monetary Value: IQ Credits have no cash value and cannot be exchanged, transferred, sold, or refunded. IQ Credits are a usage allocation, not a currency or stored value.
07 Free Trial
QuoteIQ offers a 14-day free trial that provides access to Elite Plan features. A valid credit or debit card is required to start the trial.
Trial Terms
- The trial period is 14 days from the date of registration
- You will have full access to Elite Plan features during the trial
- If you do not cancel before the trial expires, your subscription will automatically convert to a paid plan at the rate corresponding to the plan you selected during registration
- You may cancel at any time during the trial period without being charged
- Only one free trial per person, per business, or per payment method
Mobile App Users: If you subscribe through the Apple App Store or Google Play Store, your trial and subscription are governed by the applicable app store’s terms. Manage your subscription (including cancellation) through your app store account settings.
08 Payment & Billing
Accepted Payment Methods
QuoteIQ accepts the following payment methods for subscriptions:
- Credit and debit cards (Visa, Mastercard, American Express, Discover) — processed by Stripe
- In-app purchases through Apple App Store or Google Play Store (for mobile subscriptions)
Payment for Your Customers’ Invoices
When your End Customers pay invoices through QuoteIQ, the following payment methods are available:
- Credit/debit cards, Apple Pay, Google Pay (online)
- Card reader (in-person)
- Cash and check (recorded manually in app)
Recurring Billing
Your subscription renews automatically at the end of each billing period (monthly or annually) at the then-current price for your plan. By subscribing, you authorize us to charge your payment method on a recurring basis without requiring separate approval for each charge.
All payments are in U.S. dollars. Sales tax will be applied where required by law.
Payment Processing
Payment processing is handled by Stripe, Inc. QuoteIQ does not store your credit card numbers or bank account details. Payment data is subject to Stripe’s Privacy Policy and Stripe’s Services Agreement. Online payments processed through Stripe are subject to Stripe’s standard processing fee of 2.9% + $0.30 per transaction, plus an additional 1% platform fee.
09 Cancellation & Refunds
How to Cancel
- Web/Direct Subscriptions: Contact support at support@quoteiq.io, call 912-913-7154, or use the in-app chat at myquoteiq.com or within the mobile app
- App Store Subscriptions: Cancel through your Apple App Store or Google Play Store subscription settings. QuoteIQ cannot process cancellations for app store subscriptions directly.
Cancellation Policy
- Cancel before your renewal date to avoid being charged for the next billing period
- No refunds after renewal. Once your subscription has renewed, we do not offer refunds for cancellations, partial usage, or unused portions of the subscription term
- After cancellation, you retain access to the Services until the end of your current paid billing period
- Your User Data remains accessible until you request account deletion (see Section 16)
Exceptional Circumstances
In certain exceptional cases — such as technical issues caused by QuoteIQ or other unforeseen circumstances — we may, at our sole discretion, consider refund requests on a case-by-case basis.
Downgrade Effects
If you downgrade to a lower plan, features available only on higher plans will become inaccessible. Data associated with those features (e.g., pipeline deals, inventory records) will be retained but not accessible until you upgrade again.
10 AI Features & Automated Tools
Important: AI Features generate output based on automated analysis. AI output may contain errors, inaccuracies, or inappropriate suggestions. You are solely responsible for reviewing, verifying, and approving all AI-generated content before using it in your business or sharing it with End Customers.
AI Features Overview
QuoteIQ includes the following AI-powered features, all of which consume IQ Credits:
- AI Autopilot: A conversational AI assistant that executes CRM actions (create estimates, send invoices, schedule jobs, text customers, etc.) through natural language text or voice commands
- AI Estimator: Analyzes photos and job descriptions to generate pricing estimates. Estimates are recommendations based on automated analysis of property characteristics and local market data
- Before/After AI Image Generation: Creates AI-generated preview images showing expected results after service completion, based on photos you upload
- AI Text Generator: Generates suggested text for customer messages and communications
- Virtual Call Team: AI-powered phone agents that handle calls (see Section 11)
AI Service Provider
All AI Features are powered by Google Gemini. When you use an AI Feature, your input data (text, photos, voice, call audio) is transmitted to Google’s Gemini API for processing. Google processes this data and returns the AI output to QuoteIQ. For details on how AI data is handled, see our Privacy Policy, Section 6.
Your Responsibilities
- Review all AI output. AI-generated estimates, images, text, and actions are recommendations only. You must review and approve all AI-generated content before sending it to End Customers or relying on it for business decisions
- Pricing accuracy is your responsibility. AI Estimator pricing is based on automated analysis and may not reflect actual costs, local market conditions, or your specific pricing structure. You are solely responsible for the accuracy of all pricing sent to your customers
- AI-generated images are approximations. Before/After images are AI-generated predictions, not guarantees of actual results. Do not represent AI-generated images as photographs of actual completed work
- AI actions are executed as requested. AI Autopilot executes commands based on your instructions. If you instruct Autopilot to send an invoice or text a customer, that action is performed. Verify your commands before confirming
Acceptable Use of AI Features
You agree not to use AI Features to:
- Generate fraudulent or deceptive estimates, invoices, or communications
- Impersonate another person or entity
- Generate content that is illegal, harmful, harassing, or discriminatory
- Attempt to extract, reverse-engineer, or reproduce the underlying AI models
- Circumvent IQ Credit limits through automated scripting or abuse
- Use AI-generated output in a way that violates any applicable law or regulation
No Guarantee of Availability or Accuracy
AI Features depend on third-party AI services (Google Gemini) and may be temporarily unavailable, degraded, or produce inconsistent results. We do not guarantee the accuracy, reliability, completeness, or availability of any AI Feature. AI Features are provided “as is.”
11 Virtual Call Team
The Virtual Call Team is an AI-powered phone system that handles inbound and outbound calls on your behalf.
Call Recording & Transcription
All Virtual Call Team calls are recorded, transcribed, and summarized. By enabling the Virtual Call Team, you acknowledge and agree to this recording.
- Call recordings and transcripts are stored for 12 months from the date of each call, then automatically deleted
- Recordings and summaries are accessible within your QuoteIQ account
- Call audio is processed in real time by Google Gemini to conduct AI conversations
Your Legal Obligations
Recording consent laws vary by jurisdiction. Some states and countries require all-party consent (all participants must be informed that the call is being recorded). By using the Virtual Call Team, you agree that:
- You are responsible for complying with all applicable federal, state, and local laws regarding call recording and consent in your jurisdiction and the jurisdictions of your callers
- You will configure your Virtual Call Team knowledge base and greeting to include appropriate recording disclosures where required by law
- QuoteIQ provides the technology platform but does not provide legal advice regarding recording consent requirements
Virtual Call Team Pricing
- IQ Credits: 125 IQC = 1 minute of call time
- Per-minute billing: $1.25 per minute base fee, billed per minute after the first 60 seconds
- Auto-recharge: $25 auto-recharge is applied if your balance drops below 10 minutes
12 SMS & Communications
QuoteIQ enables you to send SMS/MMS messages, emails, and phone calls to your End Customers through ClientHub, Email & Text Automation, and Mass Text/Email Campaigns.
Your Responsibilities
- TCPA Compliance: You are solely responsible for complying with the Telephone Consumer Protection Act (TCPA) and all other applicable laws governing electronic communications, including obtaining proper consent from your End Customers before sending them automated or marketing messages
- A2P 10DLC Registration: Mass text campaigns require Application-to-Person (A2P) 10-Digit Long Code (10DLC) registration through our messaging providers (Twilio/SignalHouse). You are responsible for completing this registration
- Content Responsibility: You are solely responsible for the content of all messages, emails, and calls you initiate through QuoteIQ. We do not review or approve your communications before they are sent
- Opt-Out Compliance: You must honor all opt-out requests from End Customers who reply STOP or otherwise indicate they do not wish to receive further messages
- CAN-SPAM Compliance: Email campaigns must comply with the CAN-SPAM Act, including accurate sender information, clear identification as advertising where applicable, and a functioning unsubscribe mechanism
QuoteIQ’s Role
QuoteIQ provides the messaging infrastructure through Twilio, SignalHouse (SMS/MMS), and SendGrid (email). We do not control or endorse the content of messages you send. Standard messaging rates from your wireless carrier may apply.
QuoteIQ-to-User Communications
By creating an account, you consent to receive transactional communications from QuoteIQ (account notifications, support messages, product updates). You may opt out of marketing communications at any time by following unsubscribe instructions or contacting us.
13 GPS & Location Services
QuoteIQ uses geolocation data in several features:
EmployeeHub GPS Tracking
- When Employee Users clock in via Time Tracker Pro, QuoteIQ collects real-time GPS location data
- GPS tracking pauses during breaks and stops when the employee clocks out
- Only the current location is stored while clocked in; a historical location log is not maintained
- The last known location is retained on the employee profile until updated by a subsequent clock-in
Account Holder Obligations
If you enable GPS tracking for Employee Users, you are responsible for:
- Informing your employees that their location is tracked while clocked in
- Obtaining any consent required by applicable federal, state, or local law before enabling location tracking
- Complying with all applicable employment and privacy laws regarding employee monitoring in your jurisdiction
QuoteIQ provides the technology platform but does not provide legal advice regarding employee monitoring requirements.
Other Location Features
- MapMeasure Pro: Uses satellite imagery and geolocation for remote property measurement
- Route Optimization & Route Density: Uses job location data to optimize routes and visualize geographic job concentration
- GEO-Schedule / Map Calendar View: Displays scheduled jobs on a geographic map
You may disable location services through your device settings. Note that disabling location services will limit certain features.
14 Third-Party Integrations & Services
QuoteIQ integrates with various third-party services to provide functionality. These services operate under their own terms and privacy policies.

By connecting a third-party service to QuoteIQ, you authorize QuoteIQ to access and exchange data with that service as necessary to provide the integrated functionality. You acknowledge that:
- Third-party services are subject to their own terms, and you must comply with those terms
- QuoteIQ is not responsible for the availability, performance, or data practices of third-party services
- If a third-party service experiences an outage or changes its terms, functionality within QuoteIQ that depends on that service may be affected
- You may disconnect any third-party integration at any time through your QuoteIQ account settings
15 Data Ownership & Responsibilities
Your Data
You retain ownership of all User Data you enter, upload, or generate within QuoteIQ. We do not claim ownership over your customer records, estimates, invoices, photos, communications, or business data.
You grant QuoteIQ a limited, non-exclusive license to use, process, store, and transmit your User Data solely for the purpose of providing and improving the Services.
Account Holders
- You are the data controller for all CRM data, customer data, and employee data within your account
- You are responsible for the lawful collection and use of your End Customers’ personal information
- You are responsible for informing your employees about data collection practices within QuoteIQ, including GPS tracking, time tracking, and communication monitoring
Employee Users
- Your employer (the Account Holder) controls access to employment-related data within QuoteIQ
- For questions about how your employer uses your data in QuoteIQ, contact your employer directly
End Customers
- If you are a customer of a business that uses QuoteIQ, your contact information, job history, communications, and photos may be stored in QuoteIQ by that business
- For questions about how a business uses your data, contact that business directly
Data Portability
QuoteIQ’s Export Data feature (available on all plans) allows you to export your data in a commonly used format. You may export your data at any time.
16 Data Retention & Account Deletion
During Active Subscription
All User Data is retained for the duration of your subscription. After cancellation (but before account deletion), your data remains accessible in a read-only state.
Account Deletion
To request account deletion, contact support@quoteiq.io. Upon receiving a deletion request:
- Personal information is deleted or anonymized within 60 days
- Photos, documents, and media files are permanently deleted within 30 days
- Financial transaction records may be retained as required by applicable tax, accounting, or regulatory record-keeping obligations
Specific Retention Periods
- Virtual Call Team recordings: 12 months from each call date, then automatically deleted
- AI Autopilot conversation history: Retained until you delete it or until account deletion
- AI Estimator session data: Processed in real time and not retained after the estimate is generated
- Google Calendar sync data: Deleted within 30 days of disconnecting Google Calendar
- Employee GPS data: Current location only while clocked in; last known location until next clock-in or account deletion

17 Intellectual Property
Unless otherwise indicated, the Services — including all source code, databases, functionality, software, designs, audio, video, text, photographs, graphics, and the QuoteIQ name, logo, and all related names, logos, product and service names, designs, and slogans — are the proprietary property of QuoteIQ LLC, protected by copyright, trademark, and other intellectual property laws.
You are granted a limited, non-exclusive, non-transferable, revocable license to access and use the Services for your legitimate business purposes in accordance with these Terms and your active Subscription Plan. This license does not include the right to:
- Copy, reproduce, modify, or create derivative works of the Services or any Content
- Reverse-engineer, decompile, or disassemble any software within the Services (except as permitted by applicable law)
- Remove or alter any proprietary notices, labels, or marks
- Use the Services to build a competitive product or service
- Sublicense, sell, or redistribute access to the Services
We reserve all rights not expressly granted to you.
18 Acceptable Use Policy
You agree not to use the Services to:
- Violate any applicable law, regulation, or third-party rights
- Send unsolicited or unauthorized advertising, spam, or bulk messages
- Upload or transmit viruses, malware, or other harmful code
- Attempt to gain unauthorized access to the Services, other accounts, or connected systems
- Interfere with or disrupt the Services or connected networks
- Use automated tools (bots, scrapers, scripts) to access the Services, except through our provided APIs
- Collect or harvest personal information from other users
- Impersonate any person, business, or entity
- Circumvent, disable, or interfere with security features of the Services
- Use the Services for any fraudulent or deceptive purpose
- Generate fraudulent estimates, invoices, or communications through AI Features or otherwise
- Use the Services in any way that harms minors
- Sell, transfer, or share your account credentials with unauthorized parties
We reserve the right to suspend or terminate your account for any violation of this Acceptable Use Policy, with or without notice.
19 User Content & Contributions
QuoteIQ may provide you with the opportunity to submit content, including reviews, feedback, suggestions, and other materials (“Contributions”).
Your Representations
By submitting Contributions, you represent and warrant that:
- Your Contributions do not infringe any third party’s intellectual property or privacy rights
- You have the necessary rights and permissions to submit your Contributions
- Your Contributions are not false, misleading, defamatory, or otherwise unlawful
- Your Contributions do not contain harmful, offensive, or harassing content
License to Contributions
By submitting feedback, suggestions, or other Contributions regarding the Services, you grant QuoteIQ a perpetual, irrevocable, non-exclusive, worldwide, royalty-free license to use, reproduce, modify, and distribute such Contributions for any lawful purpose, without compensation to you. You retain ownership of your Contributions, and we are not obligated to use them.
Reviews
If you leave a review of the Services, you agree to base it on your genuine experience, avoid false or misleading statements, and refrain from organizing campaigns to artificially influence reviews.
20 Mobile Application License
If you access the Services through the QuoteIQ mobile application, we grant you a revocable, non-exclusive, non-transferable, limited license to install and use the mobile application on wireless electronic devices that you own or control, strictly in accordance with these Terms.
Restrictions
You may not:
- Reverse-engineer, decompile, or disassemble the application (except as permitted by applicable law)
- Make modifications, adaptations, or derivative works from the application
- Remove or alter any proprietary notices
- Make the application available over a network for simultaneous use by multiple devices beyond your plan’s user limit
- Use the application to build a competitive product or service
App Store Terms
The following applies to applications obtained from the Apple App Store or Google Play Store (each an “App Distributor”):
- Your license is limited to use on a device utilizing the applicable operating system (iOS or Android) in accordance with the App Distributor’s terms of service
- QuoteIQ (not the App Distributor) is responsible for maintenance and support of the application
- The App Distributor has no obligation to provide maintenance, support, or warranty services for the application
- You represent that you are not located in a country subject to a U.S. government embargo and are not listed on any U.S. government prohibited or restricted parties list
- You acknowledge that App Distributors are third-party beneficiaries of these Terms and may enforce them against you
21 Privacy Policy
We care about your privacy and the security of your data. Please review our Privacy Policy at https://myquoteiq.com/privacy-policy/, which describes how we collect, use, and protect your personal information.
By using the Services, you agree to be bound by our Privacy Policy, which is incorporated into these Terms by reference.
The Services are hosted in the United States. If you access the Services from outside the United States, you consent to the transfer and processing of your data in the United States, where data protection laws may differ from those in your country.
22 Disclaimers
Without limiting the foregoing, we make no warranties or representations about:
- The accuracy, completeness, or reliability of any Content, including AI-generated content (estimates, images, text, or call responses)
- The availability or uninterrupted operation of the Services
- The security of data transmitted to or from the Services
- The results you may obtain from using the Services
- The accuracy of property measurements provided by MapMeasure Pro
- The performance, accuracy, or outcomes of any AI Feature
- The compatibility or performance of any third-party integration
We do not warrant, endorse, guarantee, or assume responsibility for any third-party product or service advertised through the Services or any linked website.
23 Limitation of Liability
Certain state laws do not allow limitations on implied warranties or the exclusion of certain damages. If these laws apply to you, some or all of the above limitations may not apply, and you may have additional rights.
24 Indemnification
You agree to defend, indemnify, and hold harmless QuoteIQ, its subsidiaries, affiliates, and all respective officers, agents, partners, and employees from and against any loss, damage, liability, claim, or demand (including reasonable attorneys’ fees) arising out of or related to:
- Your use of the Services
- Your breach of these Terms
- Your violation of any applicable law or regulation
- Your violation of any third party’s rights, including intellectual property or privacy rights
- Content you submit, send, or transmit through the Services (including messages, estimates, invoices, and AI-generated content you approve and send)
- Your failure to comply with SMS/communication laws (TCPA, CAN-SPAM) when using ClientHub, automation, or mass messaging features
- Your failure to obtain required consents for employee GPS tracking, call recording, or other monitoring activities
- Any claim by your End Customers, employees, or third parties arising from your use of the Services
We reserve the right, at your expense, to assume the exclusive defense and control of any matter for which you are required to indemnify us, and you agree to cooperate with our defense.
25 Governing Law & Dispute Resolution
Governing Law
These Terms and your use of the Services are governed by and construed in accordance with the laws of the State of Georgia, without regard to its conflict of law principles.
Jurisdiction
Any legal action arising out of or related to these Terms or the Services shall be commenced or prosecuted in the state and federal courts located in Chatham County, Georgia. You consent to the personal jurisdiction and venue of such courts and waive all defenses of lack of personal jurisdiction and forum non conveniens.
Statute of Limitations
Any claim or cause of action arising out of or related to the Services must be filed within one (1) year after the cause of action arose, or such claim is permanently barred.
Exclusions
The United Nations Convention on Contracts for the International Sale of Goods and the Uniform Computer Information Transaction Act (UCITA) are excluded from these Terms.
26 Electronic Communications & Signatures
By using the Services, you consent to receive electronic communications from QuoteIQ. You agree that all agreements, notices, disclosures, and other communications we provide electronically — via email, in-app notifications, or through the Services — satisfy any legal requirement that such communications be in writing.
You agree to the use of electronic signatures, contracts, orders, and other records, and to the electronic delivery of notices, policies, and records of transactions initiated or completed through the Services. You waive any rights under any laws that require an original signature, delivery of non-electronic records, or non-electronic payment methods.

- For material changes, we will notify you via email or in-app notification
Your continued use of the Services after the revised Terms are posted constitutes your acceptance of the changes. We encourage you to review these Terms periodically.
If you do not agree to the revised Terms, you must stop using the Services and may cancel your subscription in accordance with Section 9.
