Best Field Service Scheduling Software for Contractors
See every job on a Day, Week, or Month calendar, drag to reschedule, and assign the right person or crew. QuoteIQ connects the schedule to your estimates, on-the-way texts, and route planning so the field day runs from one place.
TL;DR: In QuoteIQ’s field service scheduling software, the calendar shows Day, Week, and Month views with color-coded jobs, a side-rail agenda, conflict warnings, and drag-to-reschedule with a five-second undo. Book a job from an accepted estimate, set repeat visits, park work with Schedule Later, and export the day as a PDF. From Pro, assign team members and send on-the-way texts through ClientHub. From Elite, Route Optimization orders the stops, Route Density Zones plan service areas, EmployeeHub shares live location while clocked in, and InstaSchedule lets customers book. Max schedules whole crews. Google Calendar sync is included from Beginner. Keep automated texts within FCC consent rules and hours records within FLSA recordkeeping.
Why a reliable schedule matters
Read the contractor insights below for Mike Vidan’s view that reliability is the product and Justin Rogers’ five-step job lifecycle.
A simple drive-time check. If a crew makes six stops a day and a better stop order saves 15 minutes of driving between them, that is 75 minutes a day, or about 6 hours a week. The IRS standard business mileage rate is 76 cents per mile for July through December 2026, a useful proxy for what each avoided mile costs. This is illustrative arithmetic, not a measured QuoteIQ performance claim. Time your own routes before and after.

Watch the calendar in action.
Follow the three-minute “How To Schedule Jobs & Events In QuoteIQ” tutorial, or see Route Optimization reorder a day’s stops.
Switch between Day, Week, and Month without losing track of who is where.
Contractor scheduling software has to show the whole month and the next hour with the same clarity. QuoteIQ’s rebuilt calendar gives you Day, Week, and Month views with color-coded job chips, a side rail that lists the day’s agenda in order, and drag-to-reschedule with a five-second undo. It is included on every plan and works the same on iPhone, Android, and the web.
Give the day the room it needs.
Month view plans the season, Week view coordinates the team, and Day view runs the job. A visit the month cell cannot fit appears the moment the view gives it space, and the Daily Total follows the day you are looking at while the Monthly Total holds.
See who is double-booked before the customer does.
Switch the calendar rail to the Employee Timeline to see each person’s jobs side by side, with an overlap drawn as two half-width lanes. The Crew Timeline re-columns the same jobs by crew. Filter the calendar to specific employees or crews to view one tech’s day or a crew’s week.
Put the day’s jobs on the map.
Open Map View over the calendar to see where the scheduled jobs sit across town. Change the period from all events to a single day, tap a pin to open the job card, and use Navigate, Call, Text, and On way from the same place. The map calendar view is available on every plan.
Conflict warnings and the overlap sheet
When two jobs collide, the calendar warns you and shows an overlap sheet with the customer, phone, and services. Unassigned jobs show in navy, and finished jobs read as Done in Month and Week with a green border and badge, so progress is visible at a glance.
Side rail, filters, and templates
The collapsible rail holds a mini month, a crew key, and filters; in Month view it lists the selected day’s agenda with names, services, and end times. Save reusable Calendar Templates, attach a video to a calendar entry, and use the three-column layout on the web app for a wider daily overview.
Built for busy schedules
The September 2026 rebuild added a command band with Day/Month and All/Jobs/Events controls plus Today, Filter, Route Optimization, and Map buttons, and tuned performance for schedules with hundreds of jobs. Multi-day jobs draw as one continuous bar, and the desktop day timeline shows about half again as many hours at once. Read the September 2026 update for the full list.
Schedule analytics and reminders
Each customer profile has a Schedules tab with total schedule value, upcoming, pending, and completed counts, and the next scheduled event. Link reminders and tasks to a scheduled job so a promised callback does not slip.
Day, Week, and Month views, drag-and-drop, and the map view are on every plan. Employee and crew filters need team members or crews on your account.
02 / Book a Job
From accepted estimate to a job on the calendar.
Book the work while the customer is still saying yes.
Create a job from an accepted estimate or straight from the calendar. The job carries the customer, service address, services, and price, and the schedule overview shows each team member’s day so you can place it where it fits. Services stay synchronized between the estimate and the schedule.
Drop it on the right person, not the busy one.
Drag the new job into an employee’s column and the overview paints an overlap as a striped Conflict before you save. Move it to someone who is free, confirm, and the visit lands on the day view while the Daily and Monthly totals update to include it.
Keep the job without blocking the calendar.
Tick Schedule Later to save a job with every detail but no fixed date. It waits in the Schedule Later panel with a tentative date and counts toward the month’s total without occupying a day, so an accepted repair can wait for the part or the weather.
Multi-day and multi-location work
Create jobs that span several days; the calendar renders them as one continuous event with the date range shown throughout the app. A multi-day job dragged across a daylight-saving change keeps its full length, and the job form warns before you leave unsaved changes.
Additional contacts and job addresses
Jobs, estimates, and invoices can carry additional contacts, so the property manager and the tenant each receive the job details and the on-the-way notification. Keep the job address separate from the billing address on the estimate and the invoice.
Requests and self-booking
Customers on Pro and above can request service or self-schedule inside the Client Portal; Elite adds InstaSchedule so customers book from your real availability after a quote. Booked slots and pending requests are blocked, so two customers cannot take the same technician’s time.
A note on names
In the app, a job is the scheduled visit on the calendar, and QuoteIQ Cam records are job forms. Some walkthroughs still show the earlier Schedule label; it refers to the same calendar job.
Assigning individual team members starts on Pro; assigning a whole crew is a Max feature.
Put your next job on the calendar in QuoteIQ.
Drag-and-drop scheduling, recurring visits, and Schedule Later on every plan.
Start Your Free Trial14-day free trial. A credit or debit card is required to start.
03 / Recurring Work
Set the repeat once. Let the season fill itself in.
Weekly mowing, monthly cleaning, quarterly pest control, without re-entering a thing.
Recurring jobs keep repeat customers on the calendar automatically. Pick a repeat preset and an end date, and QuoteIQ lays the visits down the grid. Pair recurring jobs with maintenance plans and recurring invoices so billing follows the schedule instead of chasing it.
Weekly on Tuesday, through the end of the season.
Choose Weekly on Tuesday from the repeat presets, set the end date, and confirm. The visits appear on each Tuesday of the month while the Monthly Total counts up the recurring value, so you can see the season’s revenue as you book it.
Move this Tuesday without moving every Tuesday.
Drag one occurrence and QuoteIQ asks whether the change applies to this event only, this and future events, or all events. Choose This Event Only and exactly one block moves while the rest of the series stays put and the Monthly Total does not change.
Improved recurring rules
Recurring configuration handles exceptions, reschedules, and one-off changes to a series. Dragging a repeating visit moves only that occurrence, turning a saved job recurring keeps it on the calendar, and unchecking a recurring job cancels all remaining occurrences.
Recurring billing to match
Convert an accepted estimate into a subscription, choose Auto-Pay or Manual billing, and let the invoice follow each visit. On Beginner and above, recurring schedules sync every occurrence to Google Calendar, including reschedules and single-occurrence cancellations.
The same pattern in every trade
A lawn care company schedules weekly mowing routes from spring to fall; a pest control operator books quarterly treatments; a cleaning company sets biweekly visits with a monthly deep clean; an HVAC contractor schedules seasonal maintenance under a service agreement. One series, one price, many visits.
Recurring jobs are included on every plan; recurring auto-pay depends on your payment setup.
04 / Dispatch
Assign the job. The right phone gets it.
Dispatching is what happens after the plan meets the real day.
Dispatching means getting the right person to the right job with the right information. Assign an employee from Pro and above, or a whole crew on Max, and the assigned team member’s phone receives the job. On-the-way texts through ClientHub and dispatch alerts keep the customer and the crew in step.
Tell the customer you are fifteen minutes out.
From the visit, choose Send on the way text, set the arrival estimate, and the templated message rewrites itself with your company name and callback number. The customer receives the SMS, the owner sees Sent to 1 of 1, and the crew’s phone receives a Dispatch Alert. Included on Pro and above.
Crews on Max
Create named crews, assign a crew to a job instead of individual employees, and track crew locations and job progress across all active crews. The Crew Timeline shows each crew’s day, and the crew filter honours every crew you pick.
Clock-in and the live map
With EmployeeHub on Elite and Max, employees clock in and out from the mobile app, the live location map shows the team while they are clocked in, and each time entry records whether it started manually or by geofence. Hours flow into Time Tracker Pro and job costing.
Team communication and permissions
One-on-one and group team messaging, job and event assignment notifications, and permission-based alerts keep the crew informed. Roles and permissions control who can see the calendar and change assignments, and tapping a job notification opens that job.
Texting consent
An on-the-way text is a message the customer expects, but FCC rules still govern automated texts to mobile numbers: commercial texts need written consent, and a customer may opt out at any time. Review the FCC’s consumer guide to robocalls and robotexts before you automate customer texting.
Assign team members from Pro; EmployeeHub live location and time tracking are on Elite and Max; crews are a Max feature.
QuoteIQ Elite
Optimize the route and let customers book themselves.
Route Optimization, Route Density Zones, and InstaSchedule, included with Elite.
Plan where to work, then plan the order to work it.
Route Density Zones answer where the day should happen; Route Optimization answers what order to visit the stops. Both are included on Elite and Max, and the travel ribbon in the calendar shows real road distance between the day’s stops on every plan.
One press reorders the stops and untangles the route.
Filter the Route Map to a crew and press Auto Optimize. QuoteIQ reorders the stops so the line stops crossing itself, distance and drive time fall, the ETAs restamp, and the count of stops stays the same. In the calendar, turn on the toggle in a day’s detail sheet to order that day’s stops.
Draw the service area and give it a day of the week.
Press Add New Zone, click the boundary on the map, close the polygon on the first point, and name the zone with a colour and its service days. Filter the calendar by zone to book nearby work on the same day and keep windshield time down.
What optimization accounts for
The algorithm orders the day’s calendar stops using appointment times and job duration, recalculates when a last-minute job is added, and hands the route to GPS navigation. In-calendar Route Optimization is an owner-only toggle metered in IQ Credits per resolved leg; the plan gate is Elite and Max.
Density before optimization
Use Route Density to choose the zone for the day, then Route Optimization to sequence the stops inside it. Zones carry day-of-week availability, so customer self-booking can be steered toward the days you already work that area.
EmployeeHub’s live map includes a real-time traffic overlay for route planning and ETAs, and location sharing runs while employees are clocked in, pausing on breaks and stopping at clock-out.
Route Optimization and Route Density Zones are Elite and Max features; the travel ribbon shows distance on every plan.
06 / Export & Sync
A field service scheduling app that keeps every calendar in step.
The calendar should travel to the office, the crew, and your Google Calendar.
Export a day’s schedule as a PDF with or without pricing, invoice completed jobs in bulk from the calendar, and keep QuoteIQ jobs mirrored in Google Calendar. The mobile app, tablet, and web calendar all show the same schedule.
Print the day, with the numbers that matter.
Open Actions, choose Export Schedule, switch Include Pricing on, and export the day as a PDF. The exported Total Value matches the Daily Total on the calendar behind it, so the office and the crew work from the same sheet.
Google Calendar sync, rebuilt
From Beginner and above, connect a Google account from a one-screen dialog, choose which job fields appear in Google, and set how far back to sync. QuoteIQ jobs land on your Google Calendar in a per-user colour, and your own Google events appear inside the QuoteIQ calendar, visible only to you. The sync is owner-only and metered in IQ Credits per event added, with a credit check before the first sync.
Mass invoice from the calendar
Generate invoices in bulk directly from the calendar for completed jobs, and mass-invoice from the Jobs dashboard on Beginner and above. Jobs that already have an invoice carry an Invoiced chip on the calendar.
The Jobs hub shows overview cards for total, open, and completed jobs, recent visits with revenue, and visits scheduled for the next 30 days. Filter jobs by employee, date, and status from the list views as well as the calendar.
Google Calendar sync starts on Beginner and is metered in IQ Credits; schedule export and the map view are on every plan.
Book jobs with ChatGPT, Claude, Grok & more AIs.
Connect your AI to QuoteIQ’s MCP connector on the web app; every change waits for your approval in QuoteIQ.

Connected Tools
Job scheduling software for contractors. Connected to the rest of the job.
Scheduling works best when the estimate, the customer conversation, the crew’s hours, and the invoice stay attached to the same job.
Convert an accepted estimate into a scheduled job or a recurring subscription; services stay synchronized between the two. Estimate Scheduled is one of the events that can start an automated follow-up.
ClientHub keeps two-way business calls and texts with the customer record, and Email & Text Automation sends reminders and follow-ups around the visit. Additional contacts on the customer record receive the on-the-way text too.
The Client Portal shows customers their appointments and lets them request service; InstaSchedule books from your availability after a quote; InstaQuote lets them price the job first.
AI AutoPilot works across the CRM by text or voice, including requests such as moving tomorrow’s jobs to Friday, on every plan with IQ Credits. The AI Assistant connector for Claude and ChatGPT can read schedules and draft changes for approval on the web app.
Contractor insights behind a reliable schedule
Mike Vidan · Co-Founder
Mike is a 20+ year home service business owner who has coached thousands of contractors on pricing, operations, and growth.
“In this industry, reliability is the actual product. The quality of the work matters, but a customer who’s been waiting two hours past the scheduled window has already formed an opinion before you’ve touched a piece of equipment.”
The practical lesson: give every job a window you can keep, and send the on-the-way text the moment the day slips.
Justin is a serial entrepreneur and home service business owner whose insights focus on systems that run without the owner present.
“The job lifecycle doesn’t have to be sophisticated. It’s five steps: how an inquiry comes in, how it gets quoted, how it gets scheduled, how the work gets done, and how payment gets collected.”
Scheduling is one written-down step of five, and the calendar is where the other four connect.

Practical answers about how contractor scheduling works, what it costs, recurring jobs, routing, customer texts, self-booking, and Google Calendar.
Updated .
Field service scheduling software puts every job on a shared calendar, assigns it to a person or crew, and pushes the details to the phone doing the work, so the office and the field see the same day. In QuoteIQ, a job is created from an accepted estimate or from the calendar itself, and it carries the customer, service address, services, and price. Day, Week, and Month views show colour-coded jobs, the side rail lists the day’s agenda in order, and dragging a job to another day keeps its start time with a five-second undo. Assign an employee from Pro and above using the dispatch tools, or a whole crew on Max with Crews. The assigned phone receives the job, the on-the-way text tells the customer you are coming, and marking the job Done shows progress on the calendar before it becomes an invoice. Recurring visits, Schedule Later, and the map view are on every plan; Google Calendar sync starts on Beginner. When employees clock in against the job, the Department of Labor’s FLSA fact sheet is the reference for the hours records to keep.
Scheduling decides who does which job and when, before the day starts; dispatching sends the work to the right person and adjusts the plan as the real day changes. In QuoteIQ the two share one calendar. Scheduling is the Day, Week, and Month planning: booking from an estimate, setting a recurring series, or parking a job with Schedule Later. Dispatching is assigning the work: picking the team member for each job, seeing a conflict warning when they are already booked, saving so their phone gains the job with a Dispatch Alert, and sending an on-the-way text when the crew leaves the previous stop. The Employee and Crew timelines show where the next job should go, the live location map on Elite and Max shows where everyone who is clocked in is right now, and Route Optimization reorders the stops when a last-minute job lands. Assigning individuals starts on Pro; assigning whole crews is a Max feature. OSHA’s motor vehicle safety resources are a reminder that the dispatch decisions which cut driving also cut the day’s biggest on-the-job risk.
QuoteIQ contractor scheduling software costs $29.99 per month for Essentials with one user, and the calendar, recurring jobs, Schedule Later, the map view, and schedule export are included at that price. Beginner is $99.99 for two users and adds Google Calendar sync. Pro is $199.99 for four users and adds team member assignment, On The Way texts, appointment reminders, and Client Portal self-scheduling. Elite is $299.99 for ten users and adds Route Optimization, Route Density Zones, InstaSchedule, and EmployeeHub time tracking with live location while clocked in. Max is $699.99 with 20 users and adds crew creation, scheduling, and tracking. You can add more users at $25/per-additional-user/mo on any plan, and usage such as Google Calendar sync and in-calendar route optimization is metered in IQ Credits. Eligible new subscribers can try any plan for 14 days. A credit or debit card is required to start. Review current pricing and the comparisons for your team size, and cost your drive time with the IRS standard mileage rate when you weigh routing tools.
Schedule recurring jobs by creating the visit once, choosing a repeat preset such as Weekly on Tuesday, and setting an end date; the software then places every visit on the calendar for you. In QuoteIQ the repeat presets and end date sit on the job, and confirming lays the series down the month grid while the Monthly Total counts up the recurring value. When a single visit needs to move, dragging it prompts a choice between this event only, this and future events, or all events, so one rainy Tuesday does not disturb the rest of the season. Turning a saved job recurring keeps it on the calendar, and unchecking a recurring job cancels the remaining occurrences. Pair the series with a maintenance plan or recurring invoice so billing follows each visit, and let Google Calendar sync mirror every occurrence on Beginner and above. A lawn care company uses this for weekly mowing, a pest control operator for quarterly treatments, and an HVAC contractor for seasonal maintenance agreements. Recurring jobs are on every plan. The IRS mileage rate is a useful way to price the drive built into every recurring route.
Route optimization takes the day’s scheduled stops and reorders them into the shortest practical drive, using each appointment’s time window and job duration, then hands the sequence to GPS navigation. In QuoteIQ, filter the Route Map to a crew and press Auto Optimize: the stops reorder, the route line stops crossing itself, distance and drive time fall, and each stop’s ETA restamps while the number of stops stays the same. Inside the calendar, a travel ribbon shows real road distance between the day’s stops on every plan, and on Elite and Max an owner-only toggle in the day’s detail sheet orders that day’s stops, metered in IQ Credits per resolved leg. Route Density Zones work alongside it: draw a service area, give it days of the week, and filter the calendar by zone so the work you book is already close together. Route Optimization and Route Density are Elite and Max features, and the live location map with traffic overlay comes with EmployeeHub. Fewer miles matter twice: the Department of Energy notes idling burns a quarter to a half gallon per hour, and OSHA reports crash injuries cost employers $72.2 billion in 2018. Compare routing plans on the pricing page.
Send an on-the-way text from the scheduled visit: choose Send on the way text, pick the arrival estimate, and the templated message rewrites itself with your company name and callback number before you tap Send. In QuoteIQ that text goes through ClientHub on Pro and above; the customer receives the SMS, the owner sees Sent to 1 of 1, and the crew’s phone receives a Dispatch Alert confirming the customer was notified. Appointment reminders before the visit are built with Email & Text Automation, also from Pro, where you can type the reminder you want in plain English and let the template generator build it. Additional contacts on the customer record receive the same notification, so a property manager and a tenant both know when you are coming, and the Client Portal shows upcoming appointments whenever the customer wants to check. Two rules keep this clean: keep the message short and specific, and respect consent. The FCC’s guide to robocalls and robotexts explains that commercial texts to a mobile number need written consent and that a customer may opt out at any time. Mike Vidan’s contractor insights make the business case: a customer left waiting past the window has already formed an opinion.
Yes. Customer self-booking shows your real availability online and drops the chosen slot straight onto your calendar without a phone call. QuoteIQ offers it in three places. InstaSchedule, on Elite and Max, lets a customer book after accepting a Standard, Quick, Options, or Package estimate or after pricing the job with InstaQuote; booked slots and pending requests are blocked so two customers cannot take the same technician’s time, and only employees with booking hours are offered. The Client Portal, on Pro and above, lets existing customers request service or self-schedule and see their upcoming appointments. A branded public booking page can be shared from your website or Google Business Profile, with double-booking protection and an instant push notification when a request arrives. Requests land in the Schedule Requests inbox, where you accept or decline and the accepted job appears on the calendar. The Google Calendar sync then mirrors it for the owner. Automated confirmations sent by text still fall under the FCC’s consent rules for robotexts, so ask for the customer’s mobile consent on the booking form.
Yes. QuoteIQ has a two-way Google Calendar sync on Beginner and above, rebuilt in the September 2026 release around a one-screen setup. Connect a Google account, tick which job fields should appear on the Google side, and set a backfill window for how far back to sync. QuoteIQ jobs then land on the connected Google Calendar in a per-user colour, and your own Google events appear inside the QuoteIQ calendar, visible only to you, with a card that can edit or delete the Google event without leaving QuoteIQ. Recurring schedules sync every occurrence, including reschedules, single-occurrence cancellations, and assignment changes, and connecting from an iPhone or iPad completes sign-in. The sync is owner-only and metered in IQ Credits per event added, with a credit check before the first sync and an automatic stop if the balance runs out. Read the Google Calendar sync guide and the September 2026 update for setup detail, then keep the rest of the day connected: estimates become jobs, the on-the-way text goes out from the job, and invoices follow completed work. For the hours your team records against those jobs, the Department of Labor sets the recordkeeping baseline.
