  6. Saved as Paid

It's a real invoice marked Paid, in your invoices and reports.

01 / Details

Only the amount is required.

Type the amount. Everything else is optional.

QuickPay opens on a keypad. Type the amount, tap Next, and the details that follow are all optional, so a payment can go from keypad to QR code in seconds. Bigger jobs still get full estimates and invoices.

Add a customer, a due date or a note, or skip them.

On the details screen, Product starts as QuickPay, Payment methods as Card, Apple Pay, Google Pay, and Customer says Optional. Here Marcus Webb is picked from the customer list, the due date is set to Due in 7 days, and a note that's shown on the invoice is added. Create payment link then shows the QR code with the Tidewater logo in the middle.

Choose how they can pay

Payment methods lets you accept card, Apple Pay, Google Pay and bank transfer, or only some of them. Bank transfer stays off until you switch it on, and your customer sees only the methods you picked.

A QR code with your logo

Tap Create payment link and QuoteIQ creates a payment link and a QR code with your company logo in the middle. Hold up the code for your customer to scan, or copy the link or share it from your phone.

Name the product

Product can be a service from your list or a custom name. Leave it and the invoice line reads QuickPay.

Step by step

The QuickPay help guide walks through every screen.

Take your next payment before you leave the job.

Open QuickPay, type the amount and hold up the QR code.

Start Your Free Trial14-day free trial. A credit or debit card is required to start.
02 / Paid

Every payment is a real invoice, marked Paid.

Nothing to retype: it's already in your invoices, contacts and reports.

When your customer pays, QuickPay saves the payment as a real invoice marked Paid. It shows in your invoices and reports like any other payment, and it's filed under the customer in your client database.

It's already in your invoices.

Invoice #1067 for Carter Boyd, the QuickPay payment from the top of this page, is in the Paid tab of the invoice list, paid by credit card. View PDF opens the invoice itself: one QuickPay line, the final payment and Paid in Full, with nothing entered twice.

Matched to the right contact.

Carter Boyd paid the link without being picked as the customer, so he typed his name and email at checkout. QuoteIQ matched his email to his existing contact: open him in Contacts, choose Invoices, and View Data lists the QuickPay invoice, Paid by credit card.

No customer picked? They add their details

Leave Customer empty and the checkout page asks for first name, last name and email. QuoteIQ matches an existing contact by that email or creates a new one, and the receipt goes to that email.

03 / Setup

Not on QuoteIQ Payments yet? QuickPay walks you through it.

The lock in the side menu tells you what's left to do.

QuickPay runs on QuoteIQ Payments, powered by Whop. If your business takes payments through Stripe instead, or isn't set up yet, the QuickPay row in the side menu shows a lock, and tapping it walks you through switching or setup before the first payment.

The lock tells you what's left.

Tidewater Lawn & Landscape takes payments through Stripe and has used QuoteIQ Payments before, so QuickPay shows a lock in the side menu. Tapping it opens Finish in Settings, which explains that reconnecting QuoteIQ Payments keeps the balance and verification, with Continue in Settings to get there.

Set up in a few steps

QuickPay runs on QuoteIQ Payments. If your business takes payments through Stripe, or isn't set up yet, QuickPay walks you through configuring your Whop account first.

Employees with the right permissions

FAQ

Scan to pay, QR code payments and payment links, explained.

Straight answers about taking payments on your phone with a QR code or a link, and where each payment ends up.

Updated

Set up QuoteIQ Payments once, and after that each QR code takes one step: type the amount in QuickPay and QuoteIQ creates the QR code and a payment link, so the customer pays from their own phone and you don't build an invoice while they wait. In QuoteIQ the scan to pay tool is QuickPay: open the side menu, tap QuickPay, type the amount on the keypad and tap Next.

Everything after the amount is optional. Add a product name, choose which payment methods to accept, pick a customer, set a due date or add a note, then tap Create payment link. QuoteIQ creates a payment link and a QR code with your logo in the middle. Your customer scans the code and pays on a clean checkout page. You skip the paperwork but still get the record: the payment is saved as a real invoice marked Paid in your invoicing, filed under the customer in your client database, and counted in your reports. Use full estimates for bigger jobs, and see the QuickPay help guide for every screen. The checkout runs on QuoteIQ Payments.

However you get paid, keep a record of each payment; the IRS recordkeeping guidance explains what to keep.

The best QR code payment app for contractors creates the code in seconds, puts your business name or logo on it, lets you choose how the customer pays, and records the payment in the same system you use for jobs and invoices. A code that only moves money leaves you to retype the payment into your books later.

QuoteIQ's QuickPay does it inside the app you already use for estimates and scheduling. Type the amount and QuoteIQ creates a payment link and a QR code with your company logo in the middle. The customer pays by card, Apple Pay, Google Pay or bank transfer, whichever you allow, and the payment is saved as a Paid invoice in your invoicing, with the payer in your client database. Showing the code in person also helps your customer trust it: the FTC warns about harmful links hidden in QR codes placed by strangers, so a code you hold up yourself, with your logo on it, is the safer kind.

A customer pays with a QR code by pointing their phone camera at it and tapping the link that appears, which opens a payment page in the phone's browser. There's no app to download.

With QuickPay, the code opens a clean checkout page that shows your business, the amount and the reference number. If you picked a customer before creating the link, they go straight to paying. If you didn't, the page asks for first name, last name and email first, and QuoteIQ uses that email to match an existing contact or create a new one. The customer pays by card, Apple Pay, Google Pay or bank transfer, depending on which methods you turned on, and the receipt goes to the email they gave. The same page works when you share the link by text or email instead. The payment runs on QuoteIQ Payments and lands as a Paid invoice in your invoicing and reports, with the payer in your client database, ready for the next time you send estimates.

Remind customers to scan only codes they trust; the FTC warns about harmful links hidden in QR codes.

To send a payment link, create the payment request in your field service app and share its link by text, email or any messaging app on your phone. The customer taps it and pays in their browser.

In QuoteIQ, QuickPay makes the link without an invoice to build first. Type the amount, add any details you want, and tap Create payment link. The screen shows the amount, the QR code and two buttons, Copy link and Share link. Share link opens your phone's share sheet, so you can send it in a text, an email or a chat. The link opens the same checkout page as the QR code, so a customer who is not standing with you can pay by link. When the customer pays, the screen changes to Paid with the amount and the payer's name, and the payment is saved as a Paid invoice in your invoicing. For jobs that need a full breakdown, send a Quick Estimate or full estimates instead. Either way the money comes in through QuoteIQ Payments and shows in your reports and client database.

Records of each payment matter at tax time too; see the IRS page on Form 1099-K for payments reported by payment companies.

To accept Apple Pay and Google Pay as a contractor, use a payment page that offers them at checkout, so customers pay with the wallet already on their phone instead of typing a card number.

QuoteIQ's QuickPay offers card, Apple Pay and Google Pay on every link by default, and you can add bank transfer. Open Payment methods on the details screen to switch each one on or off for that payment; at least one method stays on, and bank transfer stays off until you switch it on. Your customer sees only the methods you picked. The payment runs on QuoteIQ Payments and is saved as a Paid invoice in your invoicing, so it shows in your reports with the payer in your client database. Bigger jobs can still start as estimates.

Digital wallets are part of a long shift away from cash and checks, which the Federal Reserve Payments Study tracks.

When you don't know the customer's name before they pay, let them enter their own details at checkout, and let your software file the payment under the right contact afterwards.

That's how QuickPay works. The Customer row on the details screen says Optional, so you can leave it empty and create the link anyway. At checkout, the customer enters first name, last name and email before paying, and the receipt goes to that email. When the payment goes through, QuoteIQ looks for an existing contact with the same email and files the Paid invoice there. If there's no match, it creates a new contact with that name and email in your client database. The invoice then shows in your invoicing and reports like any other, and the contact is ready for your next estimate, a visit on your schedule and the client portal.

Keeping one record per customer also makes your books easier to keep; the SBA guide to managing business finances covers the basics.

The simplest way to keep records of payments taken in the field is to take them in the same software that holds your invoices, so each payment becomes a record without retyping.

Every QuickPay payment is saved as a real invoice marked Paid, with an invoice number, the amount, the product name or QuickPay, and the customer, plus any note you added, which shows on the invoice. It appears in your invoicing next to the invoices you sent from estimates, counts in your reports, and sits in the customer's history in your client database. Paid invoices also feed job costing, and the QuickBooks integration can push invoices to QuickBooks Online. Nothing is typed into a notebook to be copied later.

The IRS Publication 583 lists the records a small business should keep, and invoices for payments received are one of them.

Employees take payments in the field when the business gives them a payment tool and the permission to use it, so the money goes to the business account and every payment is recorded against the business.

In QuoteIQ, employees can use QuickPay when their role has permission to create invoices and to view prices. Without both, QuickPay doesn't appear in their side menu. Set it up in roles and permissions, alongside the rest of your employee management. An employee types the amount, shows the QR code, and the customer pays; the payment is saved as a Paid invoice in your invoicing and shows in your reports, with the payer in your client database. Nobody carries cash back to the office, and the payment is on record the moment it goes through.

Payment rules for staff differ by business; the SBA guide to managing business finances is a good starting point for money-handling basics.

To start accepting mobile payments, pick software that includes mobile payment processing, finish its setup once, and then take payments from your phone by link or QR code.

QuickPay runs on QuoteIQ Payments, powered by Whop. If your business takes payments through Stripe instead, or isn't set up yet, QuickPay walks you through switching or setup the first time you open it, and the keypad opens once your account can take payments. After that, the same account takes payments on your invoicing and estimates. To try QuoteIQ, start the 14-day free trial from the pricing page. A credit or debit card is required to start. Compare options with QuoteIQ vs QuickBooks or browse all QuoteIQ comparisons. Payments then land as Paid invoices in your reports.
