The Best FieldEdge Alternative for Ductless Mini Split Businesses

FieldEdge publishes no software pricing at all — you book a sales call to learn what you pay. It has no AI photo estimating, no satellite measurement, and no native review automation at any price. QuoteIQ Elite is $299/mo, published on the site, with 10 users included and every one of those tools built in.

The Real Problem

Mini Split Work Scales in Heads, Not Jobs — and Most Software Still Counts Jobs

A ductless business does not grow the way a furnace-and-condenser shop grows. One address might be a single-zone wall-mount in a converted garage. The next is a four-head multi-zone with a ceiling cassette in the primary bedroom, two wall-mounts upstairs, and a floor-mount in a sunroom — one outdoor condenser, four indoor heads, four serial numbers, four filter schedules, and four separate things that can fail independently. Add line set runs, lineset cover, condensate pump installs, refrigerant charge and leak checks, blower wheel deep cleans, inverter board replacements, and seasonal tune-up agreements, and the job list stops looking like a job list. It looks like an equipment registry.

FieldEdge was built by HVAC contractors in 1980 and it is genuinely HVAC-first — that part is not in dispute. But it was built for the era of one system, one thermostat, one service history. Its published materials describe equipment tracking at the customer level, and there is no published evidence anywhere on FieldEdge’s site or in its documentation that it models a parent condenser with multiple child indoor heads as distinct serviceable assets. For a shop whose entire margin lives in multi-zone retrofits and per-head maintenance plans, that specificity gap is the whole ballgame. So is the mobile inventory limitation: FieldEdge users report the mobile app cannot access inventory without a desktop login, which means a tech standing in a driveway cannot check whether the truck has the right indoor head before promising a same-day swap.

Then there is what it costs to find out. FieldEdge does not publish a single software price — its pricing page names three plans (Select, Premier, and its own tier confusingly also called Elite) and then tells you to book a demo call. Meanwhile the features a modern ductless shop actually wants — photograph a rusted head and get a quote back, let the homeowner book a tune-up against your live calendar at 11pm, fire review requests automatically after every payment — either require a third-party partner whose price is also unpublished, or do not exist at any price. QuoteIQ takes the opposite position on every one of those. See how the platform handles the trade on the QuoteIQ HVAC software page.

A note on where these numbers come from

FieldEdge is not in QuoteIQ’s standing competitor facts sheet, so every figure on this page was researched live in September 2026 and is labeled at the point of use. [Published] means it appears on fieldedge.com. [User-reported] means it comes from third-party software directories and user reviews and has never been confirmed by FieldEdge. [Not published] means neither FieldEdge nor the named partner discloses a rate. We would rather show you an empty cell than a number we invented. Re-verify before relying on any FieldEdge figure for a purchase decision.

The one thing FieldEdge cannot add at any price

AI photo-based estimating. A tech photographs a corroded indoor head or a failed condenser and gets back a scoped, market-accurate estimate. There is no such feature in FieldEdge, no announcement of one, and no partner in the FieldEdge marketplace that provides it — a finding corroborated by two independent competitor teardowns noting FieldEdge has no built-in AI functionality whatsoever. The same is true of AI before-and-after image generation, natural-language control of the CRM, and satellite property measurement. These are not features gated behind the higher Premier or Elite tiers. They do not exist in the product or its ecosystem.

Summary

Six people on FieldEdge is roughly $925/mo in seats and marketing alone, before Schedule Engine, before a review platform, before GPS hardware, and before $500–$2,000 of one-time implementation. Not one of those three partner line items has a published price. The same six people on QuoteIQ Elite is $299/mo with four seats still unused, every one of those capabilities included, and the number printed on a public page.

The sharpest detail is this: FieldEdge publishes the exact monthly price of its marketing add-on — $95 and $225 — right on its own website. It does not publish the price of the software. That is a choice, not an oversight.

Footnote, stated plainly: FieldEdge’s QuickBooks Desktop integration is the deepest in this category and QuoteIQ does not match it — QuoteIQ syncs with QuickBooks Online only. FieldEdge shipped the first QuickBooks-integrated field service product in 1999 and it runs real-time through a local Accounting Server rather than a batch API. If your books live in QuickBooks Desktop and moving them is off the table, that is a legitimate reason to stay and we are not going to pretend otherwise. FieldEdge’s service agreement module and its dispatch board — it shipped the first electronic dispatch board in 1996 — are also genuinely good. Every FieldEdge pricing figure above is user-reported from third-party directories, not published by FieldEdge.

Fair Is Fair

Where FieldEdge Genuinely Wins

A page that pretends a 46-year-old HVAC-native platform has no strengths is a page no HVAC contractor will believe. These are real, and two of them are product advantages QuoteIQ does not match.

QuickBooks Desktop — a real product advantage

FieldEdge shipped the first QuickBooks-integrated field service platform in 1999 and it shows. The Desktop connection runs through a local Accounting Server with real-time bi-directional sync across customers, invoices, payments, timesheets, inventory, vendors and purchase orders. QuoteIQ syncs with QuickBooks Online only. If your books are in Desktop and staying there, FieldEdge wins this outright.

Service agreements — their strongest feature

Maintenance contract management is not an afterthought here; it is a deliberate strategic focus with its own sales kit and pricing guides. Users rate FieldEdge’s maintenance scheduling 4.7 out of 5 — its highest feature score anywhere. For a ductless shop running per-head filter and coil-cleaning plans, that module is doing real work.

Dispatch pedigree

FieldEdge introduced the first electronic dispatch board and multi-tech dispatching in 1996. Three decades later the drag-and-drop board, multi-truck coordination, and skills-and-location-based assignment still hold up, and users score dispatch management 4.0 and scheduling 4.1.

Forty-six years and still here

Founded in 1980 by HVAC contractors as Coastal Computer Corporation, later dESCO, now FieldEdge by Xplor. It claims 40,000+ users and still supports the legacy ESC desktop product. That is institutional staying power — though longevity is a brand asset, not a feature your techs use on Tuesday.

Notice what is not on this list: price, AI, measurement, self-scheduling, review automation, or the mobile app. FieldEdge wins on accounting depth, recurring-revenue tooling, and history. It does not win on what a ductless shop does between 7am and 6pm.

FieldEdge Cannot Do This at Any Price

A homeowner texts a photo of a rusted-out indoor head. On QuoteIQ, that photo becomes a scoped, market-accurate estimate in about four seconds, with upsell lines attached. On FieldEdge there is no AI estimating feature, no announced roadmap for one, and no partner in its marketplace that provides it — a gap confirmed by two independent third-party teardowns noting FieldEdge has no built-in AI functionality of any kind.

The 2am No-Heat Call FieldEdge Has No Answer For

Mini split emergencies do not respect office hours. A head throwing an error code on the coldest night of January is a job that goes to whoever picks up the phone. FieldEdge has no AI receptionist — not native, and not through any marketplace partner. Its Trustpilot TrustScore currently sits at 1.4 out of 5 across 46 reviews, with support responsiveness the dominant complaint. QuoteIQ answers, qualifies, books, and hands you a transcript.

FieldEdge Needs Five Vendors to Do What This Does

Review automation is not native to FieldEdge. Its marketplace offers five separate partners — Podium, Broadly, ReviewBuzz, pulseM and Customer Lobby — and not one of them publishes a rate there. That is five vendors to evaluate, one more contract to sign, one more login for your office manager, and one more bill. On QuoteIQ the invoice gets paid and the review request fires on its own.

FieldEdge Takes a Request. QuoteIQ Takes the Booking.

This distinction costs shops real money. FieldEdge’s own Consumer Management Portal — itself a paid add-on — lets customers view invoices, review quotes and submit a request for service. That is a form, not a booking. Someone in your office still has to call back and negotiate a time. Genuine live-calendar scheduling on FieldEdge runs through the Schedule Engine partner, whose pricing is not published. InstaSchedule shows your real availability and books the slot.

Migration

How to Switch from FieldEdge to QuoteIQ

No five-week implementation period, no mandatory onboarding window before billing starts. Most ductless shops are quoting out of QuoteIQ inside a week.

1
Export your customer and equipment records from FieldEdge

Pull customers, addresses, installed equipment, open service agreements and invoice history to CSV. Export the equipment list separately if you can — for a ductless book of business, the per-head records are the asset you least want to re-key.

2
Start your QuoteIQ trial and import

Fourteen days, full access to whichever plan you pick. Upload the CSV and QuoteIQ maps the fields. Data migration assistance is available if your FieldEdge export is messy — and after decades of accumulated records, it usually is.

3
Connect QuickBooks Online and Stripe

This is the step to think hardest about. QuoteIQ syncs with QuickBooks Online, not Desktop. If your books are still in Desktop, talk to your bookkeeper before you move — this is the one place FieldEdge holds a genuine advantage. Payment processing runs through Stripe, so you are not locked to a single processor.

4
Build your ductless price book

Load the services you actually sell: single-zone wall-mount install, two-head and three-head multi-zone systems, ceiling cassette install, floor-mount install, line set run and lineset cover, condensate pump install, refrigerant charge and leak check, blower wheel and coil deep clean, inverter board replacement, E-code diagnostic call, heat pump conversion, and your per-head seasonal tune-up agreement tiers. Price each head as its own line so multi-zone quotes build themselves.

5
Switch on the tools FieldEdge never had

Turn on InstaSchedule so homeowners book tune-ups against your live calendar, Review Multiplier so every paid invoice chases its own Google review, Virtual Call Team for after-hours no-heat calls, and AI Estimator so a photo of a failed head becomes a quote. Then cancel FieldEdge — the software side is reported month-to-month, though check your payment-processing agreement separately.

The number that needs no quote: the FieldEdge technician mobile app is rated 1.8 out of 5 from 424 ratings on the Apple App Store and 1.7 out of 5 on Google Play. That is the app your installers open in a mechanical room every day of the week. Directory ratings are mixed — Capterra sits at 4.1 — but the app stores and Trustpilot tell a consistent story about the daily experience, and those are the platforms customers reach for when something has already gone wrong.

Built by Contractors

The People Behind QuoteIQ

QuoteIQ was not built by a software company that surveyed contractors. It was built by contractors who could not find software that worked.

Mike Vidan
Co-Founder, QuoteIQ

Mike has spent his career in the field service trades and built QuoteIQ around the problems he kept hitting on the job. For HVAC and ductless work specifically, the one he cares most about is the gap between the estimate and the equipment: a shop cannot price a multi-zone retrofit properly if the software treats four indoor heads as one line item. Features like AI Estimator and per-asset documentation exist because that gap costs contractors margin on every multi-head quote.

Read Mike’s insights →
Justin Rogers
Co-Founder, QuoteIQ

Justin’s focus is the operational side — what happens between the booked call and the collected payment. That is where most field service platforms quietly charge extra: separate vendors for scheduling, for reviews, for GPS, for marketing. QuoteIQ’s flat published pricing and single-login model is a direct answer to the add-on stacking that defines how most of this category sells.

Straight Answer

Who Should Stay on FieldEdge

There are real answers here, and we would rather you switch for the right reason than switch and regret it.

Your books live in QuickBooks Desktop and are not moving

This is the strongest reason on the list and it is a product reason, not a brand one. FieldEdge’s Desktop integration is the deepest in the category — real-time, bi-directional, through a local Accounting Server. QuoteIQ syncs with QuickBooks Online only. If your accountant will not move and Desktop is non-negotiable, stay.

Service agreements are the entire business

If your revenue is overwhelmingly recurring maintenance contracts and very little else, FieldEdge’s maintenance module — its highest-rated feature at 4.7 out of 5 — is doing real work for you. QuoteIQ handles recurring service well, but FieldEdge has spent decades specifically on this.

Your whole office already knows it

Forty-six years in market means deeply entrenched habits. If your dispatcher has run that board for fifteen years and the switching cost genuinely outweighs the feature gap, that is a legitimate business call — but it is a training-cost argument, not a product argument.

The name carries weight with your lenders or franchisor

Institutional recognition is worth something in certain rooms. FieldEdge claims 40,000+ users and has the longest track record of any platform in the category. That is a marketing asset and it is real — it is just not a feature your techs use.

Read that list again and notice its shape. The only reason to stay that is genuinely about the product is QuickBooks Desktop, plus a narrower case for a contract-only shop. Everything else is history, habit and name recognition. Those are marketing wins for FieldEdge, not product wins — and none of them will help you quote a four-head retrofit from a photo, take a booking at 11pm, or hand your installer a mobile app rated above 1.8 stars.

Frequently Asked Questions

FieldEdge vs QuoteIQ for Ductless Mini Split Businesses

Every answer below is sourced from FieldEdge’s own site or from independent review platforms, and labeled where the figure is user-reported rather than published.

How much does FieldEdge actually cost per month?

FieldEdge does not publish software pricing anywhere — its pricing page names three plans (Select, Premier, Elite) and directs you to book a demo call. Third-party directories and user reports consistently cite around $100 per office user and $125 per technician, monthly. For two office staff and four technicians, that is roughly $925/mo before any add-ons, but this figure is user-reported, not confirmed by FieldEdge. QuoteIQ Elite is published at $299/mo with 10 users included.

How much does it cost to add customer self-scheduling to FieldEdge?

FieldEdge’s own Consumer Management Portal accepts service requests, not live-calendar bookings. True self-scheduling runs through the Schedule Engine marketplace partner, and Schedule Engine does not publish pricing either. InstaSchedule is included on QuoteIQ Pro and above at no added cost.

How much does it cost to automate review requests on FieldEdge?

There is no native review automation. FieldEdge’s marketplace lists five separate partners — Podium, Broadly, ReviewBuzz, pulseM, and Customer Lobby — and none of them publish a rate in the marketplace listing. QuoteIQ’s Review Multiplier is built in starting on the Beginner plan.

Does FieldEdge have AI photo-based estimating?

No. There is no AI estimating feature on fieldedge.com, no marketplace partner that provides it, and independent competitor reviews specifically note FieldEdge has no built-in AI functionality of any kind. QuoteIQ’s AI Estimator is included on every plan through IQ Credits.

Can FieldEdge track a multi-zone mini split system with multiple indoor heads?

FieldEdge documents equipment tracking and complete equipment history at the customer level, which is real. But there is no published evidence anywhere on FieldEdge’s site that it models a parent condenser with several distinct indoor heads as separately trackable assets, each with its own serial number, filter schedule, and service history. If that specificity matters to how you run maintenance plans, verify it directly with FieldEdge sales before committing.

Is FieldEdge’s mobile app good for technicians in the field?

User ratings say no. As of this writing the FieldEdge app sits at 1.8 out of 5 stars on the Apple App Store (424 ratings) and 1.7 out of 5 on Google Play. Reported issues include daily freezes, lost photos, slow uploads, and a mobile app that cannot check inventory without a desktop login. QuoteIQ’s apps hold a combined 4.7-star rating.

Does FieldEdge require an annual contract?

Reports are mixed, but the clearest pattern is that the software billing itself is described as month-to-month, while the bundled Clearent payment processing is reported to carry a multi-year commitment. Get the exact processing contract terms in writing before signing anything.

Does FieldEdge charge a setup or implementation fee?

Third-party sources consistently cite a one-time setup fee in the $500–$2,000 range, with a mandatory implementation period of roughly five weeks reported before billing begins. QuoteIQ has no mandatory implementation period — import a CSV and start quoting, with an optional paid Done-For-You onboarding available if you want it.

What does FieldEdge genuinely do better than QuoteIQ?

QuickBooks Desktop integration, honestly and without qualification — it is the deepest sync in the category, and QuoteIQ only connects to QuickBooks Online. Service agreement and maintenance-contract management is also a real strength, rated 4.7 out of 5 by FieldEdge users. Its dispatch board has genuine pedigree, having introduced the first electronic dispatch board in 1996.

Does FieldEdge offer a free trial?

No. FieldEdge does not offer a free trial. QuoteIQ offers a 14-day free trial with full access to whichever plan you select.

Who owns FieldEdge?

FieldEdge is branded “FieldEdge by Xplor” and is owned by Xplor Technologies. Its lineage runs from Coastal Computer Corporation (1980) through dESCO, LLC (2006) to its current ownership under Xplor, which also owns Service Autopilot.

Is QuoteIQ built for HVAC and ductless mini split businesses specifically?

Yes — see the QuoteIQ HVAC software page for the full feature set. QuoteIQ Elite includes per-asset photo documentation and inspection forms, AI-powered estimating from a photo, customer self-scheduling for maintenance visits, and automated review requests after every paid invoice, all for a published $299/mo with 10 users included.
