InstaSchedule is QuoteIQ’s customer self-scheduling tool. After a customer accepts an InstaQuote estimate, they book their own appointment from your real-time availability, and the booking syncs straight to your QuoteIQ calendar — no phone tag, no double-booking.
InstaSchedule closes the gap between quoting and booking. Once a customer accepts their InstaQuote estimate, they are prompted to schedule and pick a time from the availability you set. The appointment lands on your calendar in real time, so you are not playing phone tag to lock in a date.

How to set up InstaSchedule
Open InstaSchedule setup. Go to Settings, scroll to Self Service, and click Self Schedule Setup.
Toggle InstaSchedule on. Turn on Enable Self-Schedule for All Estimates. If it is off, customers will not see the scheduling option after accepting an estimate.
Select services. Check the services you want customers to be able to schedule. Each one must already be set up in InstaQuote.
Set job duration. Click Configure next to each service and set how long the job typically takes, then save.
Set user availability. Open Setup Time Availability and configure each user (see below).
Test with Live Preview. Use Live Preview to see exactly what a customer sees after accepting a quote.
Manage schedule requests. Approve, decline, or reschedule incoming bookings from the Schedule Request tab.
Setting availability
In Setup Time Availability, click the pencil icon next to any user (or yourself) to configure their schedule:
Calendar color. Pick a color for that user’s bookings.
Buffer time. Add optional padding between appointments so back-to-back jobs are not stacked.
Timezone. Set the user’s timezone so slots show correctly.
Available days. Check each day the user is available.
Time blocks. Add blocks like 8AM–12PM and 1PM–6PM. Split a day with a gap to block off lunch or breaks.
Calendar sync: availability is synced with your real QuoteIQ calendar. If you already have jobs or events scheduled, that time is automatically blocked and will not show up for customers. You can also create a Job Event to block off specific periods.
What your customers see
After a customer accepts an InstaQuote estimate, they see a popup that reads “Accepted – Please schedule your appointment” with two options:
Schedule Now. They are taken to a calendar showing the exact days and time slots you set, and pick one.
Schedule Later. They can come back and book the appointment when they are ready.
Managing schedule requests
When a customer books through InstaSchedule, the request appears in the Schedule Request tab, where you can approve, decline, or reschedule it. Approved appointments are added to your QuoteIQ calendar and block off the time automatically.
How InstaSchedule works with InstaQuote
InstaSchedule is the booking half of QuoteIQ’s self-service pair. InstaQuote lets customers price and accept a quote themselves; InstaSchedule lets them book a time themselves right after. They are designed to run together:
InstaSchedule only works with InstaQuote. If you are not using InstaQuote, customers cannot self-schedule.
Services must be set up in InstaQuote. A service has to be fully configured in InstaQuote, including pricing, before customers can book it.
One smooth flow. A customer can self-quote and then self-book in a single, uninterrupted experience.

Make sure InstaSchedule is enabled and that you have configured availability times for each user. Also confirm the service is fully set up in InstaQuote with its price matrix. If a service is not finished in InstaQuote, InstaSchedule will not show time slots for it. Existing jobs on your calendar also block off that time automatically.
Yes. Appointments booked through InstaSchedule are added to your QuoteIQ calendar and block off that time accordingly. Availability is synced with your real calendar, so any jobs or events you already have scheduled are automatically hidden from customers and cannot be double-booked.
Yes. If you allow multiple services to be selected during InstaQuote setup, customers can schedule all of the selected services in one appointment. The total appointment duration adjusts automatically based on the combined estimated time of the services they choose.
Yes. You can split a user’s daily availability into multiple time blocks, such as 8AM to 11:30AM and 12:30PM to 5PM, to block off the gap. You can also create a Job Event on your calendar to block specific periods, and those events prevent customers from scheduling during that time.
