The most consistent complaint we heard was tool fragmentation. A typical roofing company runs separate subscriptions for estimating, scheduling, invoicing, aerial measurement and photo documentation — and none of them share a customer record.

Fragmentation is not primarily a cost problem, although it is that too. It is a data problem. Driving to every property just to measure wastes the morning

Roofers rank satellite or aerial measurement as the single most time-saving capability in the category. Scoping several roofs a day from the truck instead of driving to each address changes the economics of the whole operation.

The measurement question is where roofing platforms diverge most sharply, and where the buying decision usually gets confused. Several products in the roofing group are not CRMs at all. Why this is a safety line, not just a speed line

Every scoping trip that does not require getting on a roof is a fall hazard you did not create. Under OSHA 1926.501, employees on a steep roof with unprotected sides and edges six feet or more above a lower level must be protected by guardrails with toeboards, safety nets, or a personal fall arrest system. Aerial measurement removes a category of exposure from your bid process entirely.

Nobody we spoke to cared about AI as a category. They cared about the specific outcomes: a quote built from photos in minutes, a phone that gets answered while you are on a roof, and follow-ups that go out without anyone remembering to send them.

Adjusters want proof — your CRM should make producing it trivial

Storm damage roofers live and die by documentation. Before-and-after photos, inspection reports and timestamped job records are the difference between an approved claim and a denied supplement.

Most CRMs push this into a separate photo app, which is why CompanyCam shows up on so many roofing shortlists. The workflow cost of that split is not obvious until a claim goes sideways: the photos are in one system, the scope is in another, and reconstructing the sequence takes an afternoon that nobody is paying you for.

Keep the records the IRS expects, too

Job documentation and financial recordkeeping are the same discipline from two directions. Software subscriptions, materials and vehicle costs are deductible business expenses under the standards set out in the IRS Small Business and Self-Employed Tax Center. If you are migrating platforms mid-year, keep invoices from both for the overlap month, and use expense tracking to link receipts to the jobs they belong to.

Published, flat-rate pricing is a feature

Per-seat pricing punishes the roofing companies that are growing

Roofing businesses scale in crews, not in desks. Every model that charges per user turns a good hiring month into a bigger software invoice, which is exactly the wrong incentive.

Two things frustrated the owners we spoke to more than the actual price. The first is quote-gated pricing: platforms such as ServiceTitan do not publish a rate card, so evaluating them starts with a sales call rather than a spreadsheet. The second is layered pricing, where a base plan, a per-seat charge and a communications add-on are quoted separately and only combine into a real number after you have already invested a week in the process. Roofing-focused platforms like RoofLink and Leap sit in this group too. None of that makes any of them a bad product — it makes them hard to budget. Ask every vendor, including this one, for the whole number in writing before you trial anything.

Never accept “standard rates” on payments

Processing terms move more money over a year than most feature differences do. Fees legitimately vary by payment method, account configuration, risk profile, industry and volume, so ask any vendor — this one included — for the written schedule that applies to your account and confirm how and when payouts land. Roofing leads are perishable in a way service leads are not. A homeowner with water coming through a ceiling calls three roofers and hires whoever picks up. Being on a roof is not an excuse the customer accepts.

Most of the owners we spoke to had no system for this at all — calls went to a personal mobile, texts went to whichever phone the customer happened to have the number for, and nothing landed on the customer record. The fix is not “answer faster.” It is separating the business line from the personal one and putting the conversation where the job lives.

Most roofing owners cannot say which jobs made money

Revenue is easy to see. Profit per job is not, because labour hours and job expenses usually live outside the CRM — in a timesheet app, a glovebox full of receipts, and somebody’s memory.

This is the finding owners raised last and felt most strongly about. A roofing company can run a full season at volume and still not know whether the steep-slope tear-offs or the flat commercial repairs are carrying the business. The numbers exist; they are just never in the same place at the same time.

Job costing at Pro and above closes that gap with a per-job report tab: total price minus labour minus expenses equals profit, shown with a margin bar. Labour pulls automatically from time tracking at the employee’s hourly rate rather than being typed in later, and expenses link to the job they belong to. Know the limits before you buy

QuoteIQ has no native payroll and no automatic overtime calculation — hours export to whatever payroll system you already run. Desktop-first software gets abandoned by roofing crews within a month

The test roofers apply is simple and brutal: can I build and send a real estimate, standing in a driveway, on my phone, before I get back in the truck? Platforms that fail it get worked around, and then abandoned.

Reputation is the other half of the mobile reality, because the review request has to fire at the moment the customer is happiest — right after they pay. Review Multiplier ships two mechanics: an instant post-payment redirect to your review page, and an email and SMS review-request automation with four event triggers, pointing at Google Business Profile, Facebook, Yelp or Angi.

Reviews are a compliance surface

However you collect reviews, and on whatever platform, the rules changed. The FTC’s Rule on the Use of Consumer Reviews and Testimonials took effect on October 21, 2024 and prohibits incentives conditioned on a particular sentiment.
